JOB TITLE: Program Assistant

LOCATION: Mount Vernon, NY
SALARY: $35,000.
00 -$40,000.

SUMMARY: Westhab seeks a program assistant to support the operation of the case management department in a Tier II emergency family shelter.
Proof of covid vaccination is required.
DUTIES & RESPONSIBILITIES:
Manages, tracks, and reports facility census.
Ensures accessibility to program staff by continuous knowledge of their whereabouts.
Maintains demographic and other needed information regarding residents for use in census management and statistical reporting through ClientTrack HMIS and other databases.
Greets all residents and visitors reporting to administration and directs them appropriately.
Maintains accurate records, prepares reports and facilitates the flow of necessary paperwork throughout the facility.
Ensures all correspondence is handled appropriately.
Assists with ordering office supplies and maintaining office inventory.
Provides administrative support to facilities staff as directed.
Coordinates donation deliveries and maintains donation “wish list” of needed items
Performs administrative duties such as typing reports, letters, memos, and flyers.
Handles phones, faxes, copies, scans, and reservations for meeting rooms.
Coordinates with van driver to arrange transportation for families.
Other duties as assigned.
EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS:
Associates degree preferred and at least 2 years’ experience in customer service or clerical related position.
Must have strong word processing skills; ability to learn new databases with ease; excellent oral and written communication; pleasant disposition; good customer service skills.
Fluency in Spanish is highly desirable.
